Travel-Study Policies & Procedures

Travel Arrangements and Responsibilities

Airfare to and from the host country is not included in the program fee. This allows you to shop around for the best deal available, allows for flexible dates (in case you want to travel before or after your program) and enables the use of any airline, in case you subscribe to a mileage program. Students are responsible for making their own travel arrangements to and from the host country. Once enrolled, check your Program Handbook for arrival and departure details. Some programs may offer an airport pick-up on a specific day.

Trip Cancellation Insurance

UCI Summer Session highly recommends that all students purchase trip cancellation insurance, even after the program has reached its minimum enrollment. Trip cancellation insurance may help provide you with coverage for lost program fees, deposits, and airline reservations if your enrollment needs to be cancelled to unforeseen reasons. Unless a program is cancelled by UCI Summer Session, UCI Summer Session does not refund deposits at any time, and does not refund Program Fees for cancellations after May 1 (Session I programs) or June 1 (Session II programs). Students who need to cancel for unforeseen reasons and who have purchased trip cancellation insurance may be, depending on the policy, provided with coverage to reimburse non-refundable flight reservations, deposits and/or program fees, as well as other non-refundable travel arrangements that may have been made. In all, trip cancellation insurance is a necessity.

While UCI Summer Session strongly recommends trip cancellation insurance, UCI Summer Session is not responsible for endorsing any specific trip cancellation plans, or for interpreting the specific terms or cancellation circumstances accepted by the insurance plan that you choose. Please make sure you understand your insurance policy prior to purchasing.

Below are some companies that offer Trip Cancellation Insurance:

Flight Itinerary

All students must submit their flight itinerary. Log on to the Enrolled Student webpage for directions on how to submit your itinerary. Your program coordinators abroad will receive this information, and in some programs it will be used to facilitate an airport pick-up. Should your flight be changed, delayed, or canceled we will be able to determine appropriate arrangements. Students who do not submit their flight information by the due date jeopardize their airport pickup option, if airport pickup is available.

UCI Summer Session assumes no responsibility for bookings or any injury, death, damage, loss, or delay incurred by any person in connection with lodging or the service of any train, bus, vessel, car, carriage, aircraft, or any other type of vehicle which may be used in conjunction with any Travel-Study program.
