Travel-Study Policies & Procedures

Student Cancellation

If you wish to cancel your enrollment, the following policy applies (please see more information on Trip Cancellation Insurance).

  • All cancellations must be done in writing to the UCI Travel-Study office (Email is acceptable). Failure to pay any portion of program fees does not confirm your intent to cancel.
  • The initial deposit is 100% non-refundable, except if the program is cancelled by UCI.
  • Paid program fees (not including the initial deposit) are refundable until May 1st (for Session I programs) and June 1st (for Session II programs)
  • No refunds of any kind are given for cancellations after May 1st (for Session I programs) and June 1st (for Session II programs)
  • If you have not made your payment and you cancel after May 1st (for Session I programs) or June 1st (for Session II programs) you are still liable for the entire program fees to the Travel Study Office.

*Please note that a deposit is not collected if students apply and the program is already full, or if a student is being placed on a waiting list.

If you need to cancel your enrollment, please send an email to Travel-Study (Travel-Study@uci.edu) indicating your desire to cancel. Please remember to include your full name, program, and school.

Even if you do not foresee the need to cancel from the program, Trip Cancellation Insurance can protect you from the unknown. UCI Summer Session highly recommends that all students purchase Trip Cancellation Insurance (see more information on Trip Cancellation Insurance). Students who need to cancel from unforeseen reasons and who have purchased trip cancellation insurance may be, depending on the policy, provided with coverage to reimburse flight reservations, lost deposits and/or program fees, as well as other non-refundable travel arrangements that may have been made. In all, trip cancellation insurance is a necessity.

Cancellation of a Program by UCI

In the unusual event that UCI Summer Session needs to cancel a program, all registered students will be contacted immediately and full refunds for program fees will be issued (including deposits). UCI Summer Session will not be held liable for any costs incurred by the student regarding air travel or other personal expenses in the event of a program cancellation.

Even if you have been notified that a program has reached minimum enrollment, in extremely rare cases there may be unforeseen future events that could affect a program (for example, natural disasters or political global events, etc.) For this reason, UCI Summer Session highly recommends that all students purchase trip cancellation insurance, even after the program has reached its minimum enrollment (see more information on Trip Cancellation Insurance). UCI is not liable for flight reservations costs in the event of an unanticipated program cancellation. In the rare event that UCI needs to cancel a program, students who purchase trip cancellation insurance may be, depending on the policy, provided with coverage to reimburse non-refundable flight reservations and other travel arrangements that may have been made. In all, trip cancellation insurance is a necessity.
